Summary

We are looking for an Office Manager to organize and coordinate administrative duties and office procedures. Your role is to create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication and safety. This is for a permanent role working fulltime. Monday to Friday 8 am - 5 pm.

Our client delivers structural and civil engineering solutions across Taranaki. They consult and manage complex building design, civil engineering projects, roading and access bridges.

About the Role

You will be leading a small team of professionals on a day to day basis and interacting with valued customers. Your ability to oversee the smooth and efficient running of the office team and adapt to changing situations with ease will ensure your success.

You will be a friendly, super organized multi-tasker who enjoys supporting a team and can work well under pressure. We are looking for someone who is willing to go the extra mile. This role is Monday to Friday 8 am - 5 pm.

Key responsibilities will include:

  • Serve as the point person for office manager duties including:
    • Mailing
    • Supplies
    • Bills
    • Errands
    • Shopping
    • Filing
    • Oversee emails
    • Responsible for phones
    • Taking minutes
    • Schedule meetings and appointments
    • Organize the office layout and order stationery and equipment
    • Manage payroll, accounting, and finances
    • Manage office budget, ensure accurate and timely reporting
    • Provide general support and service to all customers
    • Health and Safety - First Aider
    • Plan in-house or off-site social events

      To be successful for this role you must have the following:

      • Experience with Xero, WIP reports and Short form
      • Experience with accounts payable and receivable
      • Software: MS Excel, MS Word, Powerpoint
      • Have considerable office administration, facility management and supervisory experience
      • Be an excellent communicator with a natural ability to build sound relationships
      • Be highly motivated with an ability to work independently and prioritize your work
      • Have a welcoming attitude, and ability to reinforce the values of the company
      • Excellent written, oral and interpersonal communication skills
      • Organisation, time management and email management skills
      • Attention to detail and a high standard of accuracy
