Job description

On behalf of our client we are on the lookout for an experienced Administrator that has at least 5 years office experience, proven work history in project administration, minute taking and ideally SAP experience.

You will need to have excellent communication skills as you will be liaising with people within this organisation, across NZ for this upgrade.

The successful person will be self-motivated, proactive, be a solid all-round administrator and be available for the duration of this project which has started and will run for approximately 2 years.

In return for your skills and experience you will be a part of a dynamic team while also being trusted to work autonomously here in Dunedin in conjunction with other project administrators based elsewhere in the country.

Competitive hourly rate and for the right person flexibility of hours, ideally a full-time position, however this could start as a Monday-Wednesday role, then you would need to be able to increase your availability to full time hours (Monday- Friday) within the first month, as the project starts to really lift up a gear.

This is a temporary assignment to begin with for approximately 3 months through Adecco, then for the right person an opportunity to secure a 1 year fixed term contract directly with our client, then a possibility of an additional year fixed term role extension to see the Dunedin project through to completion, plus further opportunities within our client's business may also be available to utilise your skills and acknowledge the value you have added to our client's business.

Duties include (but not limited to):

Administration, Data and Reporting

  • General admin & documentation control for the project team
  • Maintain project files in the capital projects drive & SharePoint file
  • Co-ordinate and record minutes for all project meetings
  • Distribute project meeting minutes & associated documentation in a timely manner
  • Support creation & distribution of project progress updates
  • Review & creation of H&S & SOP & other documentation as required during the project
  • Assist in maintaining the project capital phasing spread sheet
  • Support creation & distribution of project progress updates

    SAP & Vendor Management

    • Management of SAP system in relation to the projects document control for multiple projects
    • Ensure purchasing procedures are controlled in accordance with the project scope
    • Manage order request & order issuing through the SAP system
    • Mange all project invoice receipting & invoice payment approvals
